What must legally be on a Dutch invoice?

As a freelancer in the Netherlands you're required to send invoices that meet the Belastingdienst (Dutch tax authority) rules. If something's missing, your client can lose their right to deduct VAT — and you get awkward questions at an audit. The good news: the list of required elements is short, and this generator adds all of them automatically.

By law, every invoice must show:

  • Your full name and address, and your client's
  • Your KvK number (Chamber of Commerce registration)
  • Your VAT identification number (btw-id)
  • A unique, sequential invoice number
  • The invoice date
  • The date of supply, if it differs from the invoice date
  • A clear description of what you delivered, and how much
  • The amounts: excluding VAT per rate, the VAT amount per rate, and the total

Don't forget the retention duty either: you must keep your invoices (sales and purchases) for seven years for the Belastingdienst. Digital storage is fine — a folder of PDFs works, as long as your records are complete and retrievable.

Using the KOR?

Under the kleineondernemersregeling (KOR, the small business VAT exemption) you don't charge VAT — but your invoice must then state that it's exempt. Tick 'KOR applies' in the tool and the legally required Dutch phrase — 'Factuur vrijgesteld van OB o.g.v. artikel 25 Wet OB' — is added to your invoice and PDF automatically. It stays in Dutch because Dutch law prescribes it.

Invoicing a business in the EU?

If you supply services to a business in another EU country, you usually reverse-charge the VAT to your client. You charge 0% VAT, must state 'BTW verlegd' (VAT reverse-charged) on the invoice, and must include your client's VAT ID. Pick the 'VAT reverse-charged' rate in the tool and both happen automatically — the tool will also require your client's VAT ID, because without it the invoice isn't valid.

Is this invoice generator really free?

Yes, completely. No limit on the number of invoices, no watermark, no account. The site earns money through an optional referral to bookkeeping software — the invoice generator itself is and stays free.

Does this invoice meet the Belastingdienst requirements?

Yes. All legally required elements are on it: your details with KvK number and VAT ID, a sequential invoice number, invoice date, description, and the amounts broken out per VAT rate. The mandatory wording for the KOR and reverse-charging is added automatically too.

What is the KOR and what does it mean for my invoice?

The kleineondernemersregeling (small business VAT exemption) is for businesses with up to €20,000 turnover per year. If you're in it, you don't charge VAT — you don't even have to send invoices, though you may. If you do, you must not show VAT on it. Instead, the Dutch phrase 'Factuur vrijgesteld van OB o.g.v. artikel 25 Wet OB' is mandatory — the tool handles that with one checkbox.

When do I use 'VAT reverse-charged'?

Mainly when invoicing a business in another EU country. You charge no VAT; your client declares the VAT in their own country. Mandatory on the invoice: the Dutch text 'BTW verlegd' and your client's VAT ID. Pick the 'VAT reverse-charged' rate and the tool enforces both.

Is my invoice data stored anywhere?

No. Everything you enter stays in your browser; the PDF is generated on your own device. Only if you tick 'save my details' does your browser keep your business details and last invoice number locally — on your device, not with us.
